Document Vault

Your GovCon documents. Finally where your team can use them.

Past performance, certifications, and reference material live in one org-wide library: foldered, searchable, and reusable across the rest of RFPeasy instead of scattered across drives, inboxes, and desktops.

The problem

You already have the document. Now where is it?

01

Your team shouldn't lose an afternoon searching shared drives, inboxes, desktops, old proposal folders, and SharePoint for information the company already owns.

02

The problem isn't creating another document. It's finding the right one when you need it.

03

The information already exists. Your team just shouldn't have to hunt for it.

One company library

One place for the documents your business uses repeatedly.

The vault is a central home for the materials that support government contracting work. Keep past-performance write-ups and supporting documentation ready for the next pursuit. Store the certifications and business documents you reach for again and again. Hold reusable reference source material for capture, proposals, and research. Upload the formats you actually work in (PDF, Word, Excel, PowerPoint, text, and images, up to 25MB each) by dropping a file straight onto the page.

Past performance. Certifications. Reference material. One home.

Organize it your way

Folders your team builds, not a fixed filing cabinet.

Create folders and subfolders that match how your company actually works, then drag documents, or whole folders, where they belong. Filter to a folder from the rail, search by name, or star the documents you pull most so they surface first. The structure is yours to shape, and it is the same structure for everyone in the organization.

Build the shelves once. Everyone uses the same ones.

Turn a document into profile facts

Upload a document, and it can teach RFPeasy about your company.

Point Extract facts at a capability write-up, a rate sheet, or a past-performance summary, and RFPeasy reads it and proposes structured facts for your Company Profile. Nothing is applied automatically: every proposed fact is reviewed and accepted by you before it lands. A document stops being a file you store and becomes context the rest of the platform can use.

Nothing touches your profile until you review and accept it.

Right people, right documents

Team documents everyone sees. Personal drafts only you do.

On a team workspace, every document carries a visibility: Team documents are visible to the whole organization; Personal ones stay with you. Filter by Personal, Team, or all at once, and flip a document between the two when it is ready to share. Solo workspaces skip the distinction entirely; there is no one else to scope to.

Shared where it should be shared. Private where it should be private.

Find it in seconds

Three clicks instead of another scavenger hunt.

The scavenger hunt
  • Shared drive
  • Email
  • Old proposal
  • Teams message
  • Wrong version
  • Ask somebody
  • Finally find it
The workflow
  • Open the folder
  • Find it
  • Use it
Take it where the work is

Open it, download it, or push it to your own cloud.

Open a document to a fresh signed link, or send it straight to Google Drive or OneDrive when that account is connected to your workspace. The vault is the shared home for company material, not a walled garden; the documents stay yours to move wherever the next piece of work happens.

Connect the workflow

Your documents shouldn't stop at the document library.

The vault is infrastructure underneath the rest of RFPeasy, not an isolated feature: documents flow in from the work and back out into it.

What feeds in
Where it goes next
  • Company ProfileExtract facts turns a stored document into reviewed, accepted profile answers.
  • Contract Monitor/PipelineLink documents and whole folders to a monitored contract so they ride along with the pursuit.
The outcome

Less searching. More using.

A document repository doesn't win the contract. But every hour spent looking for information your company already owns is an hour your team isn't spending on the pursuit. RFPeasy gives that information a permanent, organized, shared home, and makes it easy to put back to work across the platform.

Your team knows where the file is.

Everything has a home now.

Past performance. Certifications. Reference material. Reusable company knowledge. Put it somewhere your whole team can find, share, and actually use.
